Commission schemes, including the setting of key performance indicators (KPIs), multipliers and accelerators, are built by line managers from the Toolkit Web app.

This operation is not available in the iOS version.

Set Up Commission Scheme


You will receive a notification that you can commence setting up your direct report's scheme. This means that you can start setting the KPIs, multipliers and accelerators.


  1. Click the notification to go to Commission Approvals.
    Or, navigate by clicking Commission Approvals from the left sidebar menu.
  2. Click an employee under My Team's Schemes to open the employee's commission scheme. 
  3.  Note

    The number of approvals indicates the required levels that a scheme will pass through. As a line manager, you will always be the first step in the commissions building process. If, at any point, a senior manager rejects your direct report's scheme, then the record will go back to you with status LM Setup.

  4. The employee commission scheme will contain details carried over from the previous half-year period for your reference. These details include KPIs and filters, multipliers and accelerators. All the same, you can amend and carry out the following updates.
    Add KPI

     Important

    You can only add a new KPI if the % Split is less than 100%. As such,    button only appears under this condition.


    1. Click    in the top right-hand corner of the Commission Scheme section.
    2. In the KPI Detail pop-up window, set the following:
      Ref
      Field
      Description
      iKPI TitleRequired. You will see a default system-generated title formulated as "KPI" # {SchemeType}, for example KPI 1 Quarterly. You can edit this default title.
      iiDescriptionRequired. Free-text field up to 255 alphanumeric characters to describe the KPI.
      iii% SplitRequired. Dropdown from 5% to 100% in 5% increments.
      As you set the % Split, you will see the % unallocated field recalculates to show the maximum remaining % that you can allocate. This unallocated value predetermines the minimum and maximum %-value in the dropdown options.
      ivOTEAutomatically computed by taking the Annual OTE divided by 4 (if scheme is quarterly) or 2 (if scheme is half-yearly) and multiplied by the % split.
      vData SourceRequired. Select from the dropdown options to specify where and how the commission data - actual and target values - will originate.
      • Sellout,
      • Pipeline,
      • or Manual.
      The data source you select predefines the options in vi. Type, and pulls the vii. Target and ix. KPI filters, as may be applicable.
      viType
      • If data source is Sellout or Pipeline then set as Financial or Unit
      • If data source is Manual then this is automatically set as Objective.
      viiTarget
      • If data source is Sellout or Pipelinethen this field is disabled and will be automatically computed during the monitoring stage.

         Note

        There are instances when this field shows a default value. This target value represents the previous period's target data for your reference. As you set or edit the KPI filters, this value will recalculate accordingly.

      • If data source is Manual then enter the target in the free-text field. This is required.
      viiiNotesOptional. Free-text field up to 255 alphanumeric characters to describe the KPI.
      ixKPI FiltersRequired, but only applicable to Financial or UnitKPI types.

       Tip

      You can search filter keywords, "ES Labelling", and specify the specific field, "Sales Group" to query in. This will narrow the list of options in the table headers.


      To select a filter, click    in any of the table headers to see the options. As you tick the options, the relevant structure of the data sets are also selected. For example, when you tick "Hardware" under Type, all relevant filters under Sales Group, Sales Category and Material Code are also selected. You can fine tune by de/selecting options.

    3. Click Submit to add the KPI, or Cancel to return to the scheme.
    Edit KPI
    1. Click the KPI you wish to edit.
    2. In the KPI detail popup window, edit the fields you wish to update.
      Refer to Add KPI section above for a description of each of the fields.
    3. Click Submit to save your changes, or Cancel to return to the scheme..
    Delete a KPI
    1. Click in the right-most part of the KPI you wish to remove.
    2. A confirmation message appears. Click Delete to permanently remove the KPI or click Cancel to return to the scheme.
    Add a Multiplier

     Note

    If you see this section in the employee's scheme, then you can specify a multiplier against a KPI to target specific element/s within the KPI. This means that you cannot set a multiplier without first setting the KPI.


    You can see how many multipliers are allowed for a scheme. This is indicated by the counter in the Multiplier section title. Multipliers, however, are optional. You can maximize the number of multipliers for a scheme or none at all.


    Multipliers are computed every half year period and must meet the 80% achievement threshold for the half year period. This is fully subject to the terms and conditions of the commission scheme.


    1. Click    in the top right-hand corner of the Multiplier section.
    2. In the Multiplier Detail popup window, set the following: 
      Ref

      iMultiplier TitleA default system-generated title formulated as "Multiplier" # {HY}, for example Mutiplier 1 HY2 is set. You can edit this title.
      iiDescriptionRequired. Free-text field up to 255 alphanumeric characters to describe the multiplier.
      iiiApplicable KPIRequired. Select from the dropdown of KPIs that you have set in the scheme.
      As you set the applicable KPI, the following fields are inherited:
      • Data Source
      • Type
      ivx ValueRequired. Dropdown from 1.5 to 5.0 with 0.5 increments
      vData SourceInherited from the applicable KPI, and is not editable.
      • Sellout,
      • Pipeline,
      • or Manual.
      viTypeInherited from the applicable KPI, and is not editable.
      viiNotesOptional. Free-text field up to 255 alphanumeric characters to describe the multiplier.
      viiiMultiplier FiltersRequired, if the Data Source is Pipeline or Sellout.
      The filter options you can select from are inherited from the applicable KPI. You must set at least one filter criteria to create the multiplier.
    3. Click Submit to add the new multiplier, or Cancel to return to the scheme.
    Edit a Multiplier
    1. Click the multiplier you wish to edit.
    2. In the Multiplier Detail popup window, edit the fields you wish to update.
    3. Click Save.
    Delete a Multiplier
    1. Click the multiplier you wish to remove.
    2. In the Multiplier Detail popup window click Delete in the bottom-left corner.
    3. A confirmation message appears. Click OK to permanently remove the multiplier or click Cancel to return to the scheme.
    Add an Accelerator

    Important

    You can only add a new accelerator if there is a remainder in the quantity set in the Structure.


    1. Click Add in the top right-hand corner of the Accelerator section.
    2. In the Accelerator Detailpopup window, set the following:
      Field
      Description
      Accelerator TitleA default system-generated title formulated as "Accelerator" # {HY}, for example Accelerator 1 HY2 is set. You can edit this title.
      x ValueRequired. Dropdown options of either 5% or 10%.
      If you selected 5%, you can optionally define another accelerator for the remaining 5%.
      DescriptionRequired. Free-text field up to 255 alphanumeric characters to describe the accelerator.
      Data SourceRequired. Select from the dropdown options Sellout, Pipeline or Manual. As you select the data source, the following fields are predefined options:
      Field
      Sellout
      PipelineManual
      TargetDisabled and will be automatically computedDisabled and will be automatically computedRequired. Free-text field
      TypeSet as Financial or UnitSet as Financial or UnitObjective
      Payment ModelRequired. Dropdown options whether to apply accelerator payable Half-yearly or Annual.
      NotesOptional. Free-text field up to 255 alphanumeric characters to describe the KPI.
      Accelerator FiltersRequired, if the Data Source is Pipeline or Sellout.
      You must set at least one criteria.

          Tip

    Edit an Accelerator
    1. Click the accelerator you wish to edit.
    2. In the Accelerator Detail popup window, edit the fields you wish to update.
    3. Click Save.
    Delete an Accelerator
    1. Click the accelerator you wish to remove.
    2. In the Accelerator Detail popup window click Delete in the bottom-left corner.
    3. A confirmation message appears. Click OK to permanently remove the multiplier or click Cancel to return to the scheme.
  5. Click Submit to send the scheme for approval.



Submit a scheme for approval


  1. To submit a scheme to your senior manager, click   in the top right-hand corner of the page.

    Before you can submit a commission scheme, you must make sure that you have already allocated 100% of the KPIs.

  2. A confirmation message appears. To submit the scheme, click Continue. If you would like to review the scheme further, click Go Back to return to the scheme.
    Once you continue to submit the scheme, you cannot revert the status. You can, however, contact your commissions administrator if you have submitted the scheme by mistake.


Resubmit a rejected scheme

It is possible for a submitted scheme to revert to you for review. This means that a senior manager has rejected the scheme and requires you to revisit the details you have set for each KPI, multiplier and accelerator.

Reason for rejection is also supplied by the officer who made such action, so make sure that you review the reason and apply any necessary amends before resubmitting. To open and view the reason, click the timeline.
